Operations Coordinator
We are hiring an Operations Coordinator to oversee daily operations, HR workflows, and administrative logistics for a fast-paced government consulting firm. If you excel at managing remote teams, staying ahead of fast-moving schedules, and independently owning operational processes, we want to hear from you.
The Team You Will Be Joining
You will be joining a fast-growing, Austin-based professional consulting and accounting firm that specializes in supporting state and local government clients. Operating across Texas and four additional states, this firm prides itself on delivering high-caliber expertise through a collaborative hybrid team of dedicated employees and specialized remote consultants.
Major Duties
- Collaborate directly with leadership to manage executive calendars, streamline office workflows, and handle onsite mail and office logistics 2+ days per week in Austin.
- Serve as the main point of contact for a distributed team of remote consultants across multiple states—managing scheduling, client meetings, and internal communications.
- Assist with state and local government procurement filings, track firm insurance policies, and maintain active professional licenses and memberships.
- Support recruiting logistics by scheduling interviews, communicating with candidates, facilitating contractor onboarding, and overseeing background checks and personnel files.
- Utilize Microsoft 365, Copilot, QuickBooks Online, TaxDome, and reporting software to keep digital files organized, assist team members with basic app support, and boost operational efficiency.
- Organize in-person firm events, team meetings, and training sessions end-to-end, including venue coordination, catering, and materials.
What are we looking for?
- 3+ years of office management, HR coordination, or operations experience supporting remote or hybrid teams.
- Strong familiarity with state/local government procurement, contracts, or compliance processes.
- High digital literacy and comfort utilizing AI productivity tools (e.g., MS Copilot) and cloud systems (MS 365, Teams, OneDrive) to work efficiently.
- Strong initiative and common sense—a self-starter who doesn't require step-by-step direction to manage calendars, workflows, and event planning.
- Preferred: Bachelor’s degree in Business, Accounting, Finance, Management, or Marketing; experience in professional services (accounting, consulting, legal).
Exciting Opportunity Details
- Rate: $26.00 / hour
- Length of Engagement: Temp-to-Hire
- Days/Hours: Full-time (Monday–Friday)
- Location: Austin, Texas 78759 (Hybrid – Minimum 2 days per week onsite)
